Purchase a Gift Book
In order to purchase a book in honor or in memory of someone for the APL collection, please visit the Alexandrian Public Library for a copy of the form below and to provide payment. Thank you for your support of the Alexandrian Public Library!
Purpose
The Library welcomes gifts and donations that support the Library's mission and services to the community. All gifts shall be accepted and administered in accordance with Indiana law, Library Board policy, and applicable accounting requirements.
Acceptance of Material Gifts
· The Library accepts donations of materials on behalf of the Friends of the Alexandrian Public Library. Only outright gifts in usable condition are accepted. Materials may added to the Library's collection. Materials not added to the collection are typically included in Friends book sales to benefit the Library or used in programming.
· Gifts-in-kind (i.e., furnishings, equipment, art, and other decorative objects) and all gifts of consequence (i.e., real property, stocks, annuities, and large monetary gifts) will be considered individually and accepted at the discretion of the Library Board of Trustees, in consultation with the Library Director.
· The Library Board of Trustees and Library staff reserve the right to refuse any gift. Because the Library does not serve the function of a museum, gifts of items for permanent display or preservation are not normally accepted. Gifts may also be refused if they are inconsistent with the Library’s mission, create an unreasonable administrative burden, or include conditions the Library cannot reasonably fulfill.
· All accepted gifts become the property of the Library. The Library retains sole discretion regarding the management, use, disposition, and administration of donated funds or property.
Acceptance of Monetary Gifts
· Unrestricted gifts of money are gratefully accepted by the Library to be used at its discretion. Unrestricted gifts may be used for any lawful library purpose as determined by the Board of Trustees, including services, programs, collections, facilities, technology, staff development, employee recognition, and other activities that support library operations and public service.
· A notice to this effect will be placed at the Circulation Desk.
· All accepted gifts become the property of the Library. The Library retains sole discretion regarding the management, use, disposition, and administration of donated funds or property.
· Because monetary gifts with restrictions are expensive to handle, expend, and track, the Library does not accept restricted gifts directly. Any restricted gift of money must be made directly to the Friends of APL.
Gift Book in Honor or in Memory
Groups and individuals are encouraged to donate books to the Alexandrian Public Library. They may do so in memory or honor of someone, or for some other purpose. The name of the donor(s) and the name of the person being honored or memorialized will be placed in the book. Suggested reasons to gift a book to APL include the passing of a loved one, birthdays, marriages, anniversaries, graduations, or some other memorable event.
The following criteria have been established for this purpose:
· Donors may select books already purchased by the library or on order. They may suggest a topic or collection area to tailor the choice to fit the honoree. The suggested donation for an adult book is $25.00 and $15.00 for a children’s book.
· Donors may also choose to have notice of the donation sent to a person of their choosing (person being honored, family of one being remembered, etc.).
· In order to begin the gift book process, donors will be asked to complete the “Alexandrian Public Library Memorial, Honorarium, or Other Gift” form, available at the circulation desk or from the Head of Marketing & Community Relations.
Donor Responsibilities
· The Library cannot assume the responsibility for estimating the value of donated materials for income tax or other purposes.
· Gifts to the Library are tax-deductible as provided by law. Donors should consult their tax adviser. The Library gift receipt, or an acknowledgment letter, serves as the donor's record and receipt.
A gift to the library is a thoughtful way to remember a special person or occasion, or to help build and expand the Library’s collection of books for public use. Please fill in all relevant information so that we can follow your instructions exactly. A bookplate will be affixed to each item to recognize the individual or group for whom the donation is given. A note acknowledging the gift will also be sent to the person(s) being honored or remembered, or their family.
